Corporate Records Management System 2015.11.26.DMSEI

Request Description

Please can you advise me if your organisation holds this information and if allowed under FOI Act please send me an electronic copy of the following;

1)     If your organisation has a Corporate Records Management System (RMS) please send me a list of all the file names with one or more of the following words in their title;

a)     Procurement

b)    Contract

c)     Lessons Learnt

The list of file names should include the date saved. It should also include words longer than the ones above, for example "Contractor" would be included in the search.

A RMS or a Document Management System (DMS) is "is a system (based on computer programs in the case of the management of digital documents) used to track, manage and store documents and reduce paper. Most are capable of keeping a record of the various versions created and modified by different users (history tracking)." A Corporate DMS is one that covers all of the organisation and its records.

2)     If your organisation does not have a Corporate DMS please can you send me a list of all the file names found by doing a search of your organisations intranet with one or more of the following words in their title;

a)     Procurement

b)    Contract

c)     Lessons Learnt

The "intranet" is your organisations web site that is only accessed by your staff or Councillors.
